UP SYSTEM RULES

“Great things are done by a series of small things done together.” – Vincent Van Gogh

Overview

The customers you will be given will be assigned based on a rotation. salesperson up

Up System Order

  • First sales agent in the office receives the “First Up”.
  • Last person on “Up” listing is first phone-Up and the rotation is followed in reverse.

New Guests

  • New guests are to be assigned to the next salesperson-Up.
  • The next salesperson-Up must be on deck near the front desk – the receptionist is not expected to hunt the salesperson down.
  • If the next salesperson-Up is not available (on the phone with another customer, in the models, working with another customer, etc.) the “Up” goes to the next salesperson in the “Up” order and the first salesperson loses their “Up” in the rotation.
  • If a customer comes in and asks for a particular salesperson and that salesperson is available, the “ask for” customer will be registered to the “asked for” salesperson. This “ask for” customer will not be counted as an “Up” for that salesperson. If the salesperson is not available, the sales agent that is up will assist the customer and receive as an “Up”.

Return Guests

  • Front desk should print out profile record of return guest to hand to the salesperson assisting return guest. All return guests must be spoken to by a sales agent.
  • Return guest goes to their assigned salesperson, or if that salesperson is not available, the return guest goes to last up in the “Up” order. Return guests should be rotated through “last Up order” so to be sure one salesperson who remains last up for a lengthy period of time is not speaking to all return guests. They do not miss their turn in the “Up” system, if a new person comes in, and the salesperson is finished with the return guest and it is their turn in the “Up” order, they will get their “Up”.

At Reservation / Contract

  • No dot is to be put on the topo table without a signed reservation form and a check in hand. If the customer is making the reservation by phone, a dot cannot be put on the topo table without a signed reservation form and copy of check faxed to the sales office.
  • A salesperson is allowed to make an appointment with a customer on the salesperson’s day off to take a reservation check or write a contract. If a salesperson decides to come in on their day off to take a reservation check or to write a contract, the salesperson is not eligible to be included in the up system or to help any customer other than the customer they have the appointment with.
  • Salesperson(s) must be listed on the sales reports and JDE with the selling salesperson listed first and the registered salesperson listed second
  • The selling salesperson will receive 50% of the fee and the registered salesperson will receive 50% of the fee.
  • In the rare case that the person taking the reservation check is not the same person who writes the contract, the person taking the reservation check will receive 25% of the fee, the person writing the contract will receive 25% of the fee and the registered salesperson will receive 50%of the fee.
  • The customers traffic record must be printed and included in the contract file behind the Input Sheet.
